The U.S. Mission to the EU is looking for a part-time (30 hrs/wk)

PROTOCOL ASSISTANT
(ref. FY10-08)

Duties:

In his/her capacity as Protocol Assistant to the Deputy Chief of Mission (DCM), jobholder organizes all aspects of official representational events.  Prepares, extends and replies to invitations, prepares guest lists, prepares place cards, seating arrangements and menus. 
Passes invitations to the DCM and other staff, arranges courtesy calls, prepares official representational vouchers, prepares correspondence and does translations.

Recommends and makes reservations in local restaurants.

Co-manages the operations of the EU Mission Dining/Reception Room, providing day-to-day supervision and work guidance to the Dining Room Assistant, and liaises with the DCM Residence Staff on the organization of events, catering services and administrative functions.

Serves as back up to the Protocol Assistant to the Ambassador and supports Front Office administrative requirements.

Assists in planning and coordinating official representational and Mission-wide events (e.g. 4th of July, Christmas Party) and co-manages and updates contact databases and diplomatic lists.

Profile:

Education: Secondary school diploma.

Experience: Minimum one year of relevant experience such as in an EU institution, diplomatic mission, social secretariat or related environment.
Language Requirements: Fluency in English, French and Dutch.

Job Knowledge:  Familiar with matters of protocol and precedence.  Familiar with various EU institutions and the key personalities in EU institutions, international organizations, corporate/business, media, academic and cultural community, local government and military.  Working knowledge of European trade and professional associations, think tanks, lobbies, trade and labor unions.

Skills and Abilities: Considerable tact and diplomacy is required in dealing with top-level officers and diplomats.  Ability to work in a demanding, multicultural, international environment. Ability to manage several projects at once and keep high customer service standards at all times.  Strong data entry and typing skills.  Even though position is part-time, jobholder must be flexible to work overtime to cover official representations or staffing gaps.
