The U.S. Embassy in Brussels is looking for a full-time
VIP VISITS AND EVENTS COORDINATOR
(ref. FY10-09)
Duties:
Jobholder works in the Travel, Visits and Conferences office and provides a full range of logistical support for all official visitors arriving in Belgium.
Duties include but are not limited to:
a) VIP Visit Support
Provides administrative and logistical support for an average of 80 VIP visits each year: manages cell phones, rental equipment such as faxes and copiers, and is point of contact for rental vehicles. Independently manages the Embassy Control Room staffing and operation, coordinating both setup and breakdown and staffing and assisting employees on duty with briefing books, schedules, welcome kits, regulations and documentation. Suggests appropriate sites, restaurants, and activities for the schedule and makes the necessary reservations.
b) Events Support - Conferences
Coordinates all reproduction of printed materials (badges, handouts, workbooks) and sets up and manages a registration desk at the hotel by providing staffing and operational support. Provides special assistance to participants (e.g. restaurant reservations, providing directions, transportation services).
c) Travel Assistance
Assists with processing of Travel Orders for official travel by Mission staff.
Profile:
1. Education: Secondary school diploma.
2. Experience: A minimum of two years experience in dealing with the public in a service-oriented environment such as in the Travel Trade, Events organizing or Hotel experience.
3. Language Requirements: Fluency in English, French and Dutch.
4. Job Knowledge: A sound geographical knowledge of Brussels, a good working knowledge of Brussels, its transportation systems, sites etc. Familiar with Hotels and Events locations in Brussels.
5. Skills and Abilities: Jobholder must have the ability to communicate with all levels of officials. Excellent PC skills and ability to use related software, good typing skills. Driver’s license B. Flexible in working after hours and on weekends.
